This Privacy Policy explains how Realized Coach, LLC collects, uses, discloses, stores, and protects information when individuals access or use our websites, mobile applications, web applications, coaching services, group programs, courses, memberships, master classes, workshops, conferences, events, communications, forms, scheduling tools, payment tools, community features, AI-assisted features, and related services.

2. Important Notice About Health, Wellness, Coaching, and App Data

Realized Coach may process information related to goals, habits, journaling, performance, food, exercise, weight, wellness, mental and emotional self-reflection, relationships, spirituality or values, and personal development. Unless expressly stated otherwise in a signed agreement, Realized Coach is not a medical provider, psychotherapy provider, covered healthcare provider, health plan, or emergency service. Information submitted may be sensitive, but it may not be protected by medical privacy laws such as HIPAA unless a specific legal relationship makes those laws applicable.

3. Information We Collect

We may collect account and identity information; scheduling, coaching, and participation information; app and platform information; payment and transaction information; device, technical, and usage information; communications and support information; event, photo, video, and recording information; and user-generated content.

4. Sensitive Information

Some information provided through the Services may be sensitive, including journal entries, emotional reflections, mental-health-related self-descriptions, physical goals, weight-related data, food-related data, wellness data, spiritual or personal values, relationship information, location information, and other personal development information. Do not submit information that you do not want us to process under this Privacy Policy.

5. How We Use Information

We may use information to provide, operate, personalize, and improve the Services; schedule sessions and events; deliver coaching, education, courses, tools, app features, memberships, and community features; process payments and subscriptions; communicate with users; send marketing where permitted; analyze engagement and performance; develop features; moderate communities; prevent fraud and abuse; comply with law; and protect rights, safety, and property.

6. Artificial Intelligence and Automated Tools

If Realized Coach uses artificial intelligence, automation, or algorithmic tools, such tools may assist with personalization, summaries, recommendations, content organization, progress insights, goal support, safety moderation, or administrative workflows. AI-generated outputs may be incomplete, inaccurate, biased, or inappropriate for a user's circumstances and should not be treated as medical, mental health, legal, financial, nutritional, fitness, or professional advice.

AI features may use third-party AI providers, cloud providers, safety tools, analytics systems, or infrastructure vendors. User inputs, outputs, metadata, and related information may be processed by third-party AI systems as described in this Policy and any feature-specific notice.

7. Cookies, Analytics, Advertising, and Tracking Technologies

We may use cookies, pixels, SDKs, local storage, analytics tools, advertising tools, and similar technologies to operate the Services, remember preferences, understand usage, improve performance, measure marketing, and deliver relevant content. We may disclose information to service providers and processors; coaches, contractors, facilitators, event staff, moderators, and administrative personnel; other participants when users voluntarily share information in group or community settings; business partners or event hosts where necessary; professional advisors, insurers, attorneys, accountants, auditors, and compliance consultants; government authorities where required or permitted; successors in business transactions; and others with user consent or instruction.

9. Group, Community, and Event Privacy Limits

Information shared in group coaching, community features, webinars, workshops, master classes, conferences, or events may be visible to other participants. Realized Coach may ask participants to respect confidentiality, but Realized Coach cannot guarantee that other participants will keep information private.

10. International Users and Data Transfers

Realized Coach is based in Utah, United States. By using the Services, users understand that information may be collected, stored, processed, and transferred in the United States and other countries where our service providers operate. Privacy laws in those countries may differ from those in the user's country. Where required, we will use appropriate safeguards for international transfers.

11. User Choices and Rights

Depending on location, users may have rights to access, correct, delete, restrict, object to, or receive a copy of certain personal information, and may have rights related to consent withdrawal or marketing opt-out. Requests may be submitted to Realized Coach. We may verify identity before fulfilling requests and may deny or limit requests where permitted by law.

We retain information for as long as reasonably necessary to provide the Services, maintain records, comply with legal obligations, resolve disputes, enforce agreements, prevent fraud, protect safety, and support legitimate business purposes. Users may request account deletion or data deletion by contacting Realized Coach or using any in-platform deletion method we provide. We may retain certain information where permitted or required by law, including transaction records, consent records, security logs, dispute records, tax records, legal compliance records, de-identified or aggregated data, and information retained in backups for a limited period.

14. User Backups and Export

Where available, users should export or maintain their own copies of important journal entries, goals, habits, tracking data, course progress, messages, downloads, and other content. Realized Coach does not guarantee that any specific content will remain available indefinitely.

15. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No internet, cloud, app, email, or video service is completely secure. Users are responsible for protecting account credentials and using secure devices and networks.

16. Children and Minors

The Services are not directed to children under 13. Users under 18 may use the Services only with parent or legal guardian consent and under additional terms where required. Realized Coach may require parental consent forms before providing services to minors. We do not knowingly collect personal information from children under 13 without required consent.

17. Third-Party Services

The Services may link to or integrate with third-party services such as Calendly, Zoom, Stripe, email platforms, analytics providers, app stores, social media platforms, and other providers. Their privacy practices are governed by their own policies.

18. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. The updated version will be posted with a new effective date. Continued use of the Services after changes means the user accepts the updated Policy to the extent permitted by law.
